From first enquiry to the final venue handover

A clearer booking process for wedding suppliers

Build a clearer wedding-supplier booking process for venue details, package changes, deposits, final confirmations and post-event reviews.

Qualify the wedding before holding the date

Capture the wedding date, ceremony and reception venues, guest count, required service, setup window and the person authorised to approve changes. A decorator may need ceiling restrictions and loading access; a photographer may need ceremony timings and coverage hours. Keep the enquiry provisional until you have checked capacity and any venue constraints.

Make package changes traceable

Wedding requirements often change between the first quote and the event. Record the selected package, quantities, optional extras and revision date in one booking record. When the couple changes the venue, finish time or item count, issue a written update showing the new scope and price instead of relying on scattered messages.

Connect the deposit to a confirmed scope

Request the deposit after the couple can see what is included, the total price, the date being reserved and the relevant cancellation terms. Record the amount received, payment reference and remaining balance. A £250 deposit against a £1,000 package should leave a clearly recorded £750 balance with an agreed due date, not an unexplained figure in a message thread.

Prepare the final wedding handover

Set a deadline for final choices and collect the on-day contact, venue access time, supplier entrance, parking instructions and pack-down arrangements. Reconfirm any details that affect staffing or equipment. Give the team one final summary so they are not searching through old emails on the wedding morning.

Close the booking thoughtfully

After delivery, record any issue before requesting a public review. For a completed booking with no unresolved concern, send one polite review request that names the service provided and gives the client an easy way to respond. Stop reminders when the client replies or opts out.

What should a wedding-supplier enquiry form ask?

Ask for the date, venue or postcode, service required, approximate guest or item count, setup and finish times, contact details and any known access restrictions. Only request details you genuinely need to assess the booking.

When should a wedding supplier collect a deposit?

Collect it after the client can review the package, price, date and applicable terms. Explain whether the date is held before payment and what confirmation the client will receive afterwards.
